Where is the software loaded?

It’s is sitting on a server in a data centre somewhere.  Users simply access it on the web.
Open Windows is responsible for ensuring that someone can’t hack through the firewall or application to get to the information. 
Check the EULA to confirm your responsibilities and Open Windows responsibilities.

You install the software on a server on your company network.  Users access it using your internal intranet.
Doing it this way gives you control over the protection in that someone has to hack through your firewall to get at the information.

Where does all the information reside

On a server in a data centre.  Server is owned or rented by Open Windows

Data sits on your server on your network.

Who looks after the software, i.e. uploads bug fixes, new versions etc

You are responsible for ensuring that all bug fixes and patches are loaded on your server.  To receive bug fixes and patches, you must have an support contract which includes help desk support

Who is responsible for backups

In case of catastrophic failure of the data centre, Open Windows keep regular backups of the whole system with everyone’s data.
Please note that you are still responsible for keeping back-ups of your own data, hence the option to back-up at log off
